Cost centers in each activity

The system creates an automatic center for every unit in the activities you use and charges its revenue and expenses to it without you choosing anything. In activities whose only unit is the branch, documents land on the branch's default cost center. This is what happens in each activity:

Activities with a center per unit

  • Vehicle rental — one center per vehicle (VEH): contract revenue and its add-ons, extensions and violations, and expense bills linked to the vehicle. Collected is contract payments on their dates; payments of a cancelled contract come off on the day it is cancelled.
  • Property rental — one center per property unit (UNIT), named after the property, building and unit number: rent, daily bookings, office and broker commissions, maintenance and unit expenses. Refundable deposits are not revenue.
  • Halls and chalets — one center per hall or chalet (HALL): booking revenue. Deposit refunds are deducted from collected.
  • Engineering consultancy — one center per project (ENG): invoices, project expenses and sub-consultant invoices.
  • Accounting projects — one center per project (PRJ); a service invoice linked to a project takes its center.
  • Car dealers — one center per car (CAR): purchase, sale and its cost, expenses, commissions and financing. A shared expense is charged to each car by its share, and brokerage (no car) to the branch default.
  • Farms (with poultry, livestock, palm and fruit) — one center per farm (FARM): inputs, mortality, production, bird and livestock sales, vet visit bills and worker wages.
  • Schools — one center per grade in its year (GRD): student contract revenue, with collected being their installment payments. A contract with no grade stays unallocated.
  • Travel agencies — one center per trip (TRIP): the trip's invoices and expenses. An invoice with no trip stays unallocated.
  • HR — one center per department (DEP). In the payroll approval entry, salary expense is split by employee: each on the center in their file, else their department's center, else the payroll branch's default. The payroll total does not change.

Activities on the branch default

  • Sales and POS — a sales invoice lands on the center chosen on it, otherwise on its branch's default, and so do POS sales, together with their cost of goods sold; a return lands on its invoice's center.
  • Purchasing — a supplier bill lands on its center when it is charged to an expense account. Inventory is an asset with no center; its cost shows at sale time on the sales invoice's center.
  • Workshop, tailoring and laundry — invoices and orders land on their branch's default, together with workshop technician commission.
  • Inventory — stock-count differences and scrap land on the movement branch's default.

To get each branch's profit in these activities, create one center per branch and make it the default cost center of its branch (see Adding and managing cost centers, and the branch default).
