How do I pay maintenance contract instalments to suppliers?
Maintenance payments are the other side of the maintenance contract schedules: what falls due is paid and documented with a voucher.
Steps
- Open Maintenance → Maintenance payments — Figure 1 — then a new payout voucher.
- Pick the maintenance contract and then the due period from its schedule.
- Enter the amount, the payment date, the payment method and a reference number if there is one.
- Save; the period’s status updates to paid or partially paid.
- Print the voucher and keep a copy signed by the supplier.
Notes
- Do not pay before confirming the periodic visit actually happened; a maintenance contract does not by itself mean the work was done.
- If the contract has deduct from owner switched on, the cost appears in their settlement automatically, so do not deduct it a second time by hand.
- Overdue periods show in the schedule; review it before the supplier calls and suspends the service.
- Tie the payment to a visit report from the supplier; that is what makes the owner accept the deduction without argument.
