How do I write the contract terms and the cancellation policy?
Most venue disputes are not about the price but about what happens when a customer cancels days before the date. A written policy ends that.
Steps
- Open Halls & Chalets → Settings — Figure 1.
- Write the contract terms in Arabic and English; they appear on every printed contract.
- Write the cancellation policy in both languages too; it shows in the contract and on the booking site.
- Save, then print a test contract and read it the way a customer will — Figure 2.
What is worth writing down
- When the balance is due — clearest is before the event starts.
- Responsibility for damage and how it relates to the deposit.
- The free cancellation window and what happens to the deposit after it.
- Access and vacating times and what a delay costs.
Notes
- Write them once here rather than repeating them on every booking; later changes then happen in one place.
- Write in language the customer understands rather than heavy legal wording; the point is to be read, not skipped.
- Have your lawyer review them once; they print on every contract that leaves your office.
- A lax cancellation policy fills your calendar with bookings that melt away days before the date.
