How do I split the fees into instalments and follow them?

Few guardians pay a whole year at once; instalments are what make chasing the money possible on time.

Steps

  1. Open the contract and go to the Instalments tab — Figure 1.
  2. Spread the total across instalments by the number of terms or months you work with.
  3. Each instalment has its number, its due date and its amount.
  4. With every payment the paid figure updates and the status changes: pending, partial, paid or overdue.
  5. To follow the whole school, open InstalmentsFigure 2 — and filter by status, grade and period.
  6. The overdue list is the collection clerk’s call list every morning.

Notes

  • Tie due dates to the start of terms rather than the middle; collection is easiest when students come back.
  • Call a few days before the due date, not after; a reminder is cheaper than a demand.
  • Chronic arrears are a management decision, not an accounting one, so do not leave them to the end of the year.
  • One large instalment is harder to collect than three sensible ones; that is a commercial decision, not a technical one.
